    Why service companies need service business ERP software

    Service companies do not ship a product off a production line, but their operations are just as complex. An HVAC or elevator maintenance company runs hundreds of contracts with scheduled visits, breakdown calls, spare parts and technicians spread across a city. A facility management or manpower agency bills based on attendance at many sites. An engineering or IT services firm delivers projects with milestones and timesheets.     Service contracts, AMC and preventive maintenance

    The contract is the centre of a maintenance business. Each annual or comprehensive maintenance contract in the ERP records the customer, sites, equipment covered with serial numbers, contract type, period, value, billing frequency, number of preventive visits, response time commitments and what is included or excluded, such as consumables or spare parts.

    From this, the ERP generates the preventive maintenance schedule for every site and piece of equipment and assigns visits to technicians. Visits due, done and missed are visible on a dashboard. Before a contract expires, renewal reminders go to the account manager with a summary of visits, breakdowns and parts consumed during the term, which makes the renewal conversation easier and the pricing more realistic.

    Complaints, tickets and service level tracking

    Breakdown calls arrive by phone, email, messaging apps and customer portals. The ERP logs each as a ticket against the customer, site and equipment, checks whether it is under warranty, AMC or chargeable, and applies the response and resolution times from the contract.

    Assignment and escalation

    Tickets are assigned to technicians by area, skill and availability. If a ticket is not attended within the agreed time, it escalates to a supervisor. Customers can be updated automatically at key stages.

    Service history

    Every ticket and visit is stored against the equipment serial number, building a complete history of faults, repairs and parts replaced. Repeat failures become visible, which helps decide whether to repair, replace or revise contract terms.

    Technician app, attendance and job sheets

    Field technicians spend their day at customer sites, so the mobile ERP app is where most service work is recorded. Technicians see their assigned visits and tickets, navigate to the site, mark location-based check-in and check-out, fill in a digital job sheet with checklist readings, add photos, record parts used and capture the customer signature.

    Location-based attendance from the same app feeds the HR and payroll module, so field staff attendance, travel and overtime are based on recorded data rather than self-reported sheets. Supervisors can see where their teams are working and which jobs are pending.

    Digital job sheets also change how customers experience the service. Instead of a handwritten slip that may be lost, the customer receives a service report with readings, photos and parts replaced soon after the visit. Disputes about whether a visit happened or what was done become rare, and the data feeds the equipment history used for renewals and repair decisions.     Spare parts, van stock and warranty

    Spare parts are often the largest hidden cost in a maintenance business. Parts are issued to technicians, carried in vans, used at sites and sometimes returned faulty for warranty claims with the original manufacturer.     The ERP holds a main store, branch stores and a stock location for each technician or van. Parts used on a job are consumed from the technician stock against the ticket, so stock and cost are always tied to a customer.     Projects, timesheets and professional services

    Installation, engineering, IT and consulting work is usually delivered as projects. The ERP records each project with its scope, budget, milestones and team. Staff log time against projects and tasks, and material or subcontractor costs are booked to the project as they arise.

    Project managers compare budget with actual hours and cost at any point, and billing follows the agreed model: milestone billing on completion of deliverables, time and material billing from approved timesheets, or a fixed fee spread over the term. Unbilled work in progress is visible, so nothing completed is left uninvoiced at month end.

    Billing, GST and receivables for service companies

    Service billing has its own patterns. AMC contracts are billed monthly, quarterly or annually in advance. Manpower contracts are billed on attendance by site and role. Repairs are billed for labour and parts. Projects are billed on milestones or timesheets. The ERP generates recurring invoices automatically on schedule, calculates attendance-based bills from site data and applies the correct SAC codes and place of supply rules for GST.
